The Analytics under the Business tab are a great way to gauge how well your studio is doing in terms of referrals, sales/pricing, bookings,and financials. However, sometimes it can seem these analytics are as hard to decipher as hieroglyphics in the dark. This article will hopefully peel back the mystery and help you understand the metrics you're looking at and how this information is being calculated.
Navigate to Business > Analytics
Helpful Hint: If you don't see any information in the Analytics section it's probably due to one of two reasons. Either your browser is zoomed in further than 100% (just reset it and refresh the page) or your Adobe Flash is out of date for your browser (go to https://get.adobe.com/flashplayer/ to update it). Referrals
Note: Each of the four metrics in the Referrals section will display the top 15 referrers in your studio for a given analytic. You may have more than fifteen but they will not be listed here. Unfortunately, this is a current limitation of the Analytics section.
Total Referrals
- This section will list the top 15 referrers in your account.
- "Resulted In Booking" are the number of shoots that were booked with this referrer assigned.
- "Referred Leads" are the number of shoots that are NOT booked with this referrer assigned.
Booking Percentages
- Shows the percentage of jobs that were booked with this referrer assigned (divide booked jobs by the number of referrals from that referrer)
Total Net Profit
- Displays net profit of all shoots combined that have that referrer assigned
Average Profit Per Job
- Displays the average net profit per job based on referrer
Bookings
Yearly Summary
- Displays the number leads that were entered into ShootQ within a specific date range (i.e. number of leads entered into ShootQ during April 2016). This is based on the shoot’s ‘Created On’ date.
- Displays the number shoots that were booked in a given month. This is based on the shoot’s ‘Booking Date’. These booked shoots may have been added as leads in a different month; the 'Booking Date' is not always necessarily the same as the 'Created On' date for a shoot
Reasons Marked Dead
- This section shows the reasons a lead was marked dead and how many shoots were marked for a given a reason.
- 'Unspecified' means the reason was 'Other' but a specific reason was not entered.
Sales and Pricing
Sales By Count
- Displays the number of times a product was part of a package or ordered as an a la carte item.
- It does not include totals from shoots where the package or order was specifically voided by clicking Make Changes > Void/Cancel This Order. It does, however, include orders that were voided by canceling jobs.
Sales By Revenue
- Displays the total revenue of products when they were part of a package or ordered as an a la carte item.
- These amounts are based on the retail price of the items
- It does not include totals from shoots where the package or order was specifically voided by clicking Make Changes > Void/Cancel This Order. It does, however, include orders that were voided by canceling jobs.
Sales By Profit
- Shows the net profit of products that were ordered as part of a package or an a la carte item
- It is based on the product’s retail price and cost of goods sold.
- It does not factor in taxes, discounts, etc.
- It does not include totals from shoots where the package or order was specifically voided by clicking Make Changes > Void/Cancel This Order. It does, however, include orders that were voided by canceling jobs.
Sales By Year
- The totals generated are based on the sum of the package prices that were ordered in a given time frame time.
- They do not account for any discounts or taxes applied to orders.
- Main Orders are orders created during the initial booking process.
- A La Carte orders are orders created after booking the client.
Packages By Count
- Displays the number of times a package was ordered.
- It does not include totals from shoots where the package or order was specifically voided by clicking Make Changes > Void/Cancel This Order. It does, however, include orders that were voided by canceling jobs.
Packages By Revenue
- Displays the revenue sum of all shoots in which the package was ordered
- These amounts are based on the retail price of the package. It does not include taxes or discounts.
- If a pre-set package’s price was edited when creating an order, that package is considered a custom package.
- It does not include totals from shoots where the package or order was specifically voided by clicking Make Changes > Void/Cancel This Order. It does, however, include orders that were voided by canceling jobs.
Packages By Profit
- This amount is based on the difference between the package price and the cost of goods sold of the products/services contained within the package. It does not include taxes or discounts.
- It does not include totals from shoots where the package or order was specifically voided by clicking Make Changes > Void/Cancel This Order. It does, however, include orders that were voided by canceling jobs.
Personnel
Profit and Revenue
- Shows the total amount of revenue and profit generated from shoots in which the user was listed as personnel.
- Revenue is based on the sum of all the packages/orders from all the shoots where the user was listed as Personnel.
- Profit is based on the total difference between those packages' retail price and their Cost of Goods Sold.
Counts
- These totals are calculated based on the total number of orders/packages from shoots in which the user is listed as personnel.
Financials
Income Forecast
- Projected Income is based on the individual payment due dates on an invoice. The amount shown is the grand total of the individual payment (including tax). For example, if a $400.00 invoice has four equal payments and those payments are due over a four month time-span (Sept-Dec), the Projected Income for each month will $100.00
- Collected To Date is based on the amount of revenue collected on the invoice. It does not show when these amounts were collected. It only shows that they were collected at some point.
Outstanding Income
- Outstanding Income is based on the Projected Income and Collected To Date data found under Income Forecast or the History metrics in the Financials section.
- It is calculated by subtracting Collected To Date from Projected Income for a given time frame.
- It is essentially the amount of revenue that has not been collected on individual payments in an invoice. The date in this section is based on the individual payment due dates (not the invoice due date).
- It shows Outstanding Income that is due in the future.
History
- Projected Income is based on individual payment due dates (not invoice due date). The amount shown also includes tax if applicable.
- Collected Income is based on how much of the individual payments that are due that month has been collected. It does not matter when it was collected.
