How do I have my clients schedule their own appointments or shoots?

We all know that running a business can be a lot of legwork, and sometimes its nice to let the client stretch theirs. That's exactly why ShootQ added Online Scheduling to the list of things it can do for you.

To start using this feature, navigate here in your ShootQ account:

Settings > Online Scheduling

The first thing that you will need to do in order to get some of this new scheduling power into your clients' hands is to define when you are available by laying out your business hours. It's fine if you don't keep regular business hours, but you still want to define when you are typically available during the week and then you can deal with specific dates and times down the road.

It's also a good idea to consider what you might want to use this feature for when you are laying out these business hours. If you want to use it to simplify the process of scheduling your portrait shoots, then you should identify the particular days and times that you typically choose to schedule portrait sessions and make those available. However, if you plan to use this feature to ease the scheduling of a wide variety of shoot types and meetings, it might be best to have a more open schedule like the one shown in the example below.

Once you have established when you are generally available, it is a good idea to get a handle on how you can adjust for times that you are already booked, whether it is for another shoot, a dentist appointment or just some time to yourself. You will handle this by defining Blackout Calendars. The Online Scheduling feature integrates with ShootQ's powerful Calendar system by allowing you to define certain Calendars that are feeding into ShootQ to be taken into consideration with the availability in  Online Scheduling. You may find it is best to have all of your work and personal calendars added to this blackout list, so that you never run the risk of double booking yourself.

Now, you are ready to get ShootQ and your clients working for you, by letting the client scedule their appointment times. Start by visiting a Lead and clicking on the Schedule an Appointment link in the yellow bar.

You will see a pop-up window with two options and you can choose to manually schedule the appointment yourself or Request an Appointment.

Choosing the first of these options will simply call up your monthly calendar and you can double click on an available time slot to add the appointment.

You will also notice that you have separate calendars for all of your Users in ShootQ, so your whole team can schedule their individual calendars without confusion.

But the real meat and potatoes of this feature is passing off this resposibility to the client, as it will save you time and energy that would normally be exhausted with emails and phone calls back and forth to find a mutually agreeable time. To do this simply click on that Request an Appointment button in the previous pop-up window. Here you can define the Event Name, who the client will be meeting with, at what location and how long the appointment will be.

You also have an option labeled Within that allows you to define a period that the meeting needs to take place within.

One of the several options available is to define a specific date range, where you can use the resulting calendar to specify when you would like the meeting to occur.

Once you click Continue, you will be prompted to send the client an email which will automatically contain the link where they can choose their appointment time. Putting all this power into the hands of your client might be a little concerning for some, but we've got you covered. Your schedule is yours, after all. So that there is no chance of you getting double booked, you always have the ability to accept or decline a chosen appointment time, just like you do with Proposals. That way, you are always the one calling the shots.

Finally, the appontment request and its current status will display in your Lead's Overview.

Okay, so if I accept my clients proposed appointment, why does the system NOT automatically send out a conformation email confirming that I've accepted the appointment the client has requested?  That would be ideal so the client would make sure he/she adds it to their calendar.  And what if I decide to decline the appointment, what is the procedure now? Apparently if I say cancel, no additional action is automatically taken.

 

Additionally, it would be great if when I accepted the scheduled appointment by the client, that I had a choice to schedule a reminder email to be sent out to  that customer the at a specific time before the scheduled appointment to remind them.  You know, like when your dentist secretary calls you a day before your dental appointment to remind you that you have an appointment.

I agree with Ron. Those are all excellent suggestions, and ones I think the client would expect to be there. The more the system can "hand hold" the client for us, the better!

I recently switched from using Miller's BookM service to the ShootQ online scheduler, and assumed the ShootQ scheduler was sending confirmation emails to my clients as BookM had done (incidentally, BookM is free, and it sends appointment reminders, too, which my clients just loved). Just had a big snafu this morning when a client had selected an appointment, I had accepted - but she never got confirmation via email so she assumed we weren't meeting. Grrrrrrrrr.

Have spent 30 minutes on this today, realizing there isn't a way to create an automatic email confirmation from scheduler. We REALLY need this functionality added. PLEASE?!?!

Is there a way for me to set up a link on my website for new leads to select an appointment? For example, I want to set up a link for my holiday family session, so I want them to be able to click on the link, and then select from my pre-determined dates for family sessions? I would also like to have separate availability times for consults versus shoots... that would help a lot to.

But how do I set up specific dates/times and locations to let people choose from, if I am doing weekend shoots over a period of the day, for example? I have been trying to figure this out for days. I tested it out on someone and they didn't see anything that said anything about specific dates that were already booked. The only thing I was able to do was request a booking, but it had to be on a specific day and time. I want to offer people the choice on a first come first serve basis. I have a google document that says Location 1- 9:30-6:30PM in one hour slots at such and such a date. Location 2- same thing, Location 3- same thing. They can look at that date/time/location and pick the one they want, but how do they book online? I can't seem to set it up so THEY do it, versus me. Please help! I need this figured out by next weekend, and I have people bugging me to book!

Also it would be great if meeting type, location and all other fields there would save the last one I already entered so I didn't have to start it over for each lead.
